Terms of Service
These terms cover the use of Pawikan, a product of SistemaPH, by organizers, their staff, and the people who book trips through it. By using Pawikan, you agree to them.
What Pawikan is
Pawikan is booking software. Organizers use it to publish trips, take bookings, collect receipts, and build manifests. Pawikan is not a tour operator, travel agency, or payment service: we do not run trips, and we do not receive, hold, or refund joiner payments.
Early access
Pawikan is in early access (beta). We are still building and testing it, so you may run into bugs, and features, limits, and pricing may change before and after early access ends. Early-access offers, such as welcome credits and the monthly free allowance, are explained under Credits and fees. If something doesn’t work, email us.
For organizers
- You are responsible for your trips, prices, policies, and the people you serve.
- You must have any permits or accreditation your trips legally require, and follow the laws that apply to them, including the Data Privacy Act for the traveller information you collect.
- Only collect what you need, and use traveller information only to run the trip.
- Keep your account secure and make sure your staff use it properly. You are responsible for what happens under your organization.
- Only your organization’s owner and admins can see billing and buy credits. Fees are explained under Credits and fees.
- If you cancel a confirmed booking, you must give a reason. The booker is emailed if they gave an email address. Refunding them is up to you: pay them back first, then record the refund on the booking.
Credits and fees
Organizers pay for Pawikan with prepaid credits. One credit covers one confirmed traveller. Your balance and history are on the Billing page.
- Your first 20 confirmed travellers each calendar month (Philippine time) are free. Unused free travellers don’t carry over. This monthly allowance may change after early access; we will email organization owners before it does.
- Organizations that sign up during early access get 100 free welcome credits. This offer is only for early access, and we will email organization owners before it ends. Welcome credits you already received stay on your balance.
- A booking is charged once, when it is first confirmed: when you approve its downpayment or full payment, or when your team adds it manually. A booking still waiting for receipt review when the trip starts is charged then, because it is on the manifest.
- Cancelling a single booking does not return its credits, even if you refund the booker.
- Cancelling a whole departure before it starts (its meet-up time, or midnight of its start date) returns its credits and free travellers. Once it has started, nothing is returned.
- Credits don’t expire. They have no cash value and can’t be refunded or transferred, including when you close your account. If we charge credits by mistake, we will correct it.
- Your balance can go as low as −50 credits. Below that, you can’t open new departures, add seats, or move a departure to a later date until you top up. Existing bookings, payments, and manifests keep working, and joiners never see your balance.
- To top up, pay for a credit pack using the account shown on the Billing page and upload your receipt. Each receipt reference can be used once, and you can have one top-up waiting for review at a time. We may add credits before we review a top-up. If we reject it, those credits are removed and your later top-ups wait for review. Fake receipts may lead to suspension.
- During early access, credits are tracked but you are not asked to pay. We will email organization owners before paid billing starts and before prices change.
For bookers and joiners
- Your booking is an agreement between you and the organizer. Their trip details, inclusions, and cancellation and refund policies apply.
- If the organizer has booking policies, you must agree to them for everyone in your booking. We keep a copy of the version you agreed to, with the time you agreed.
- Booking holds your slots for a limited time set by the organizer. If you don’t pay and upload your receipt in time, the hold ends and the slots may go to someone else. Your slots are reserved once the organizer approves the required payment.
- Give accurate details. If you book for a group, make sure the people you list are okay with you sharing their information.
- Payments go directly to the organizer. Only upload real receipts (images or PDFs up to 5 MB). Each reference number can be used once; fake or reused receipts may be rejected and reported.
- Trip changes, cancellations, and refunds are handled by the organizer. Contact them first.
Acceptable use
Don’t use Pawikan for scams, fake trips, spam, or anything illegal, and don’t try to access other organizations’ data or disrupt the service. We may suspend accounts or remove trips that break these rules.
Closing your account
An organization owner can ask us to close the account by emailing us. Records are handled as described in the Privacy Policy. Unused credits are not refunded. Download any manifests or records you need first.
The service
Pawikan is provided as is. We work to keep it available and accurate but cannot promise it will always be uninterrupted or error-free. Keep your own copy of anything critical, such as manifests before a trip. We may change or improve features over time.
Pawikan’s automatic emails come from an address that can’t receive replies. Joiners should contact their organizer; organizers can email us.
To the extent the law allows, Pawikan is not liable for losses arising from trips, disputes between organizers and joiners, or payments made between them. Nothing here removes rights you have under Philippine law.
Privacy
How we handle personal information is explained in the Privacy Policy.
Changes and governing law
We may update these terms. The date at the top shows the latest version, and we will tell organizers about important changes. These terms are governed by the laws of the Philippines.
